1. Who we are

Employe io (“Employe io”, “we”, “us”) provides technical recruitment services to companies and works with candidates seeking technology roles. Employe io is a sole proprietorship business operating in India and is not a separate incorporated company or corporation.

Employe io is the controller of the personal information described in this policy, meaning we decide why and how it is used. Our team works remotely and we serve clients and candidates internationally. We have not appointed a Data Protection Officer, so no such claim is made here.

2. Where we collect information from

This website itself is intentionally simple. Information reaches us through:

• the contact form on our Contact page, which asks for your name, work email, company ( optional) and message;
• direct channels published on this website — email to contact@employe.io, WhatsApp and Telegram (@EMPLOYEIO);
• our Calendly scheduling page, if you choose to book a call, where Calendly collects the booking details you enter;
• documents and information you send us voluntarily, such as a CV attached to an email or messaging conversation;
• professional and publicly available sources used in the ordinary course of recruitment, such as professional networking profiles, when sourcing candidates for a role.

This website has no user accounts, no login area and no candidate database or application portal. There is no advertising or profiling on this website. We do use Google Analytics 4 to measure general website usage, and it loads only with your consent — see section 4A below.

Separately from this website, we also obtain business contact information for prospective client companies through our own outreach and prospecting activities, including business contact details from professional and publicly available business sources and the outreach platforms described in section 7 (Snov.io and Instantly.io). That prospect information is handled outside this website and is not collected by anything running on this website.

3. Client information

What we collect

• name and role of the person contacting us;
• business email address;
• company information;
• phone or messaging contact details, where you provide them;
• hiring requirements and role briefs;
• messages and any other information you choose to share.

How we use it

• responding to enquiries;
• communicating with you about recruitment services;
• internal sales activity and business development;
• outreach activities and managing the business relationship;
• operating the relevant business systems we use to run the agency;
• sending relevant business communications, including marketing where permitted;
• meeting our legal, accounting and record-keeping obligations.

Our client-data commitment

We do not sell client or prospect contact information and we do not provide it to unrelated third parties. Client and prospect information is used for Employe io’s own legitimate business purposes and may be processed inside the business systems we use to operate — for example email, communication, scheduling, hosting, security and the outreach platforms named in section 7. Those providers act on our instructions as service providers and are not permitted to use your information for their own purposes. That is fundamentally different from selling or sharing data with unrelated third parties, which we do not do. We do not currently use a CRM or applicant-tracking system.

4. Candidate information

What we collect

• name and contact details, including email and phone or messaging handles;
• CV or résumé and any accompanying documents;
• professional experience, employment history and skills;
• location, work arrangement preferences and right-to-work considerations you share;
• job preferences, salary expectations and availability;
• qualifications, certifications and portfolio or profile links;
• notes from our conversations, screening calls and assessments;
• anything else you choose to provide voluntarily.

How we use it

• recruitment and candidate evaluation;
• matching you with suitable opportunities;
• screening, shortlisting and assessment;
• communicating with you about roles and process updates;
• recruitment administration and record-keeping;
• presenting you to Employe IO clients for suitable positions.

Sharing candidate information with our clients

Candidate information is treated differently from client contact information. Where it is necessary for recruitment, we share candidate information — typically your CV, professional background and relevant screening notes — with the Employe IO client considering you for a role. We do this only for legitimate recruitment purposes, only to the extent needed for the client to evaluate you and in line with applicable privacy law. We aim to tell you which opportunity we are presenting you for and you can ask us not to submit your profile to a particular company. Once a client receives your information, that company handles it as its own controller under its own privacy notice.

We do not sell candidate information and we do not share it with advertisers or unrelated third parties.

4A. Website usage information and Google Analytics

We use Google Analytics 4 (“GA4”), a measurement service provided by Google, on this website. Our GA4 measurement ID is G-W6SWMP5MFK. The Google tag is installed site-wide, but it is consent-gated: the Google Analytics script is not loaded and no analytics cookies are set unless you choose “Allow all” in our cookie banner. If you choose “Essential only”, or make no choice, nothing is sent to Google Analytics.

What is collected

Once you have allowed non-essential cookies, our implementation sends a page_view event when you open a page and when you navigate between pages on the site. Each event includes:

• the page path, page URL and page title of the page you are viewing;
• the standard technical information Google’s measurement script collects with any event, such as referring source, device type, browser, operating system, screen size and approximate location (typically city or region level) derived from your IP address;
• a randomly generated analytics identifier stored in a cookie so repeat visits can be counted as the same browser, together with any standard measurement Google enables in our GA4 property settings.

We do not send names, email addresses, CVs, contact-form contents or other directly identifying information to Google Analytics and we do not use it to build profiles of individuals or to advertise.

Why we use it

• measuring how many people visit the site and which pages they find useful;
• understanding which roles, articles and pages attract interest;
• seeing where visitors come from so we can focus our effort;
• spotting broken journeys, slow or unhelpful pages and improving navigation, content and performance;
• reporting on aggregate website performance internally.

Google's role and transfers

Google provides Google Analytics as a third-party analytics service and processes analytics data on our behalf in accordance with the applicable Google Analytics terms and data processing terms. Google may process the data outside your country, including in the United States, relying on appropriate safeguards such as the European Commission’s standard contractual clauses. Google’s own privacy notice is available at policies.google.com/privacy and information about how Google uses data from sites that use its services is at policies.google.com/technologies/partner-sites.

Legal basis, retention and your controls

Where GDPR or UK GDPR applies, we rely on your consent for analytics cookies and similar technologies. Analytics runs only if you choose “Allow all” in our cookie banner and you can withdraw that consent at any time by choosing “Essential only” on our Cookie Policy page or by clearing this site’s cookies and local storage in your browser. You can also install Google’s Analytics opt-out browser add-on or use your browser’s tracking-protection settings. Two retention concepts apply here and they are different: the lifetime of the analytics cookies stored in your browser, which is set by Google and can be changed by Google or removed by you at any time, and the retention of GA4 event data held by Google, which is governed by the data-retention setting configured in our Google Analytics property. Aggregate reports may be kept for longer. We do not state a fixed cookie lifetime or event-retention period here because those values are provider-controlled and configurable. Because analytics data is not linked to your name or contact details, we may be unable to identify the records relating to a particular person; if you contact us about analytics data, tell us what you need and we will do what applicable law requires.

5. Legal bases

Where GDPR, UK GDPR or a comparable law applies, we rely on: legitimate interests (operating a recruitment business, matching candidates and roles, responding to enquiries, business-to-business communication, site security); contract (performing our services for clients and progressing your candidacy); consent (non-essential embedded content, analytics cookies and Google Analytics and where required, marketing or retaining your profile for future roles); and legal obligation (tax, accounting and compliance record-keeping). Where we rely on consent, you may withdraw it at any time.

6. Data minimisation and purpose limitation

We ask only for what a recruitment process reasonably needs and use it only for the purposes described above, or a compatible purpose. Please do not send us sensitive personal information — such as health data, government identifiers, religious or political views, or financial account details — unless we specifically ask for it and explain why.

7. Who we share information with

Beyond the client-sharing described in section 4, we share personal information with the service providers that actually support this website and our communications:

• Lovable — hosting and delivery of this website, including its content-delivery and edge infrastructure.
• Cloudflare — the Turnstile anti-spam and bot-protection check on our contact form and related delivery and security infrastructure.
• Resend — the email service that delivers contact-form submissions to our inbox. Submissions are sent to us as email; this website does not store them in a database.
• Calendly — scheduling, if you book a call through the embedded widget or the Calendly link. Calendly processes the details you enter on its own platform.
• Google Analytics 4 (Google) — website usage and traffic measurement, as described in section 4A. It runs only where you have allowed non-essential cookies.
• Google Fonts — the typefaces used on this website are requested from Google’s font servers (fonts.googleapis.com and fonts.gstatic.com), which receive your IP address and browser information in order to deliver the font files.
• Snov.io — used by Employe io for business outreach and prospecting. Where we hold business contact information for a prospective client company, it may be processed in Snov.io as part of that outreach. Snov.io is not used as a CRM and no Snov.io script, cookie or tracking technology runs on this website.
• Instantly.io — used by Employe io to send outreach emails to business contacts. Business contact details and message content may be processed there for that purpose. Instantly.io is not used as a CRM and no Instantly.io script, cookie or tracking technology runs on this website.
• The email, messaging and business tools we use to run the agency (including WhatsApp and Telegram, if you contact us there) and professional advisers or authorities where the law requires disclosure.

We do not currently use a CRM or applicant-tracking system. Snov.io and Instantly.io are outreach tools used in our business-development activity and are relevant to prospect and client business contact information rather than to anything collected by this website. Candidate information is not processed through those outreach platforms.

We may also disclose information to comply with a legal obligation, to respond to lawful requests, to protect our rights, safety or property, or in connection with a merger, acquisition or reorganisation of our business.

8. International transfers

Our team, our clients, our candidates and our service providers are located in different countries, so your information may be transferred to and processed outside your own country, including outside the UK, EEA or your local jurisdiction. Where we transfer information from the UK or EEA to a country without an adequacy decision, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses or the UK international data transfer addendum, together with our providers’ own transfer mechanisms.

9. Security

We use reasonable technical and organisational measures appropriate to the nature of our business: HTTPS/TLS encryption in transit for this website, bot protection on the contact form, access controls on our email and business tools and limiting access to personal information to people who need it for their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We do not claim any specific security certification.

10. Retention

We keep personal information only as long as needed for the purposes described here and then delete it or stop using it. Our own retention periods are:

• Candidate information — 24 months from our last meaningful interaction with you, unless you ask us to delete it sooner.
• Client and prospect information — 24 months from our last meaningful interaction, unless you ask us to delete it sooner.
• Application and enquiry correspondence, including contact-form submissions received by email — 24 months.

We may keep information for longer where a longer period is required by tax, accounting, legal or limitation-period obligations, or where it is needed to handle a live dispute. These periods are Employe io’s own retention periods. Where information is also held by a service provider — for example scheduling details held by Calendly, analytics data held by Google or outreach records held in Snov.io or Instantly.io — that provider’s retention is controlled by its own settings and terms; we do not state periods for providers we do not control. GA4 analytics data is retained according to the retention setting configured in our Google Analytics property, as described in section 4A.

11. Your privacy rights

Depending on where you are located, you may have the right to: access the personal information we hold about you; have inaccurate information corrected; request deletion; ask us to restrict or object to certain processing, including direct marketing; receive your data in a portable format where that right applies; withdraw consent where consent is our legal basis; and not be subject to automated decision-making that has a legal or similarly significant effect — we do not use automated decision-making of that kind.

Which rights actually apply depends on your location and circumstances and on which privacy laws apply to a given processing activity; this policy does not claim that Employe IO is subject to every privacy law in every jurisdiction. To exercise a right, email contact@employe.io. We may need to verify your identity and we will respond within the timeframe required by applicable law.

If you are in the UK, EEA or another region with a data protection authority, you also have the right to complain to your local supervisory authority. We would appreciate the chance to address your concern first.

12. Marketing preferences

We may send business communications to client contacts about our recruitment services and role updates to candidates who have engaged with us. You can opt out at any time by replying to any message or emailing contact@employe.io. We will still send necessary service messages about an active enquiry, engagement or application.

14. Children

Our services are aimed at working professionals and businesses. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will delete it.

15. Changes and contact
